- Service agreement signedNet 10 monthly billing, anchored to the service start date. No long-term contract.
- Domain verificationWe add a TXT record to your domain to prove you control it (Zoho Mail's verification step). Takes 5-15 minutes; we drive the change at your registrar (Ionos, GoDaddy, NameCheap, wherever your domain lives).
- MX + DKIM + SPF + DMARC recordsWe add the email DNS records that point inbound mail to Zoho Mail and authenticate your outbound mail. This is the step most providers skip — we don't.
- Mailbox creationWe create each mailbox in Zoho Mail's admin console, set passwords, configure aliases, build any shared inboxes / distribution lists you specified.
- Existing email migration (if applicable)If you're moving from another provider (Gmail, Outlook, GoDaddy mail, Office 365, etc.), we pull your historical mail across via IMAP migration. Folders + flags + read/unread state preserved. Migration time depends on volume.
- Cutover + go-liveMX flip. Inbound mail starts arriving at Zoho Mail. Each user logs in via webmail, configures Outlook / Apple Mail / mobile if they want native clients. We're available during cutover for any "wait, this isn't working" calls.

7FAQ
Will my existing Gmail / Outlook keep working during the transition?
Yes. The DNS cutover (MX flip) is the only point where mail routing changes, and that takes effect within minutes for new arriving mail. Your old mailbox keeps anything that was already in it. We migrate historical mail to your new Zoho mailbox via IMAP, so nothing is lost. There's typically zero downtime for outbound mail and ≤30 minutes of split-traffic for inbound mail (some senders' DNS caches haven't refreshed; both routes deliver).
Why does DKIM / SPF / DMARC matter?
Together they're how recipient mail servers (Gmail, Outlook, etc.) verify your outbound email is really from you and not a spoof. Without them, your invoices and proposals quietly land in spam folders, and you have no idea why your emails are getting ignored. Most cheap email providers either skip these or set them up incorrectly. We make sure they're configured, monitored, and updated when DNS changes.
Can I keep my existing domain at Ionos / GoDaddy / wherever?
Yes. We don't require you to move your domain to us. Your domain stays with your registrar; we just coordinate the DNS record changes (MX, DKIM, SPF, DMARC, verification TXT). Many clients keep their registration where it is.
What about archived old email — can I get to it?
Yes, two ways. (1) During onboarding we migrate your historical mail from the old provider into the new Zoho mailbox via IMAP — this is the default, you keep one searchable mailbox. (2) Or you can leave the old mailbox running read-only for a transition period (good idea if you have years of mail and don't want to wait for a full migration before going live). We'll recommend based on your situation.
Can my team use Outlook / Apple Mail / Thunderbird / Gmail app?
Yes. Zoho Mail supports IMAP and SMTP, so any standard mail client works. We provide setup instructions per client, and we'll get on a call with anyone whose configuration is being stubborn.
Can I send from my mailbox as info@ or sales@ (alias send-as)?
Yes. Aliases are inbound-only by default (mail to info@ forwards to your mailbox), but we can configure send-as so when you send from "info@yourbusiness.com", recipients see "info@yourbusiness.com" in the From line, not your personal address. This is the standard pro setup for small teams where a few people share inboxes for sales / support / billing roles.
What's the upgrade path to full Zoho One?
Smooth. Zoho Mail is one app inside Zoho One. If you outgrow standalone Email and want CRM, Books, Desk, Projects, Campaigns, etc., we can convert your Mail account into a Zoho One workspace and add the other apps without touching your email. See Zoho Setup for that broader engagement; many clients start with email and expand from there.
What about email security / phishing protection?
Zoho's inbound filtering catches the obvious phishing and malware. For higher-stakes environments (HIPAA-aware, PCI-aware, finance-regulated), we recommend layering on policy + user training as a Custom Engagement. Email-policy-only engagements are also available if you've got mail somewhere else but want the deliverability + policy review.
Can you bundle this with web hosting?
Yes. Web Hosting includes mailboxes at every tier, so if you're hosting a site with us you don't need standalone Email service. Standalone Email is for clients who want just email — the website is hosted elsewhere or doesn't exist yet.
How does billing work?
Monthly recurring on Net 10 terms, anchored to your service start date. We accept credit card, ACH, and Apple Pay through our Zoho Books + Stripe integration. No long-term contracts; cancel any month with 30 days' notice and we'll help you migrate cleanly to wherever you're going.
