Recurring Managed Service

Managed Operations as a Service

A recurring monthly retainer that puts Lucky Duck behind the wheel of your Zoho One operations. CRM hygiene, marketing automation, pipeline ops, reporting — done by humans who use Zoho every day. Three tiers, one straightforward monthly bill.

1What MOaaS is

Outsourced Zoho operations on a monthly retainer.

You bought Zoho One because you knew it could run your business. You don't have time to actually run Zoho One. That's the gap MOaaS fills. We do the day-to-day work — clean up CRM data, launch email campaigns, tune dashboards, keep workflows running, surface what needs your attention — so your Zoho stack actually delivers the operational lift you bought it for.

Pure human-driven service. MOaaS does not include our Clawdio-Pro AI runtime layer. If you want AI assistance integrated into your Zoho stack, see DuckBot or Clawdio-Pro on the Cloud instead. MOaaS is for clients who want skilled humans handling Zoho ops on a recurring basis.

2What we do monthly

The actual work that lands during a typical month under MOaaS engagement. Tiers determine scope (how many of these we cover) and depth (how often + how much).

🧹

CRM hygiene

Duplicate detection + merge. Stale-lead cleanup. Field validation enforcement. Tag normalization. Database health reporting.

📊

Reporting + dashboards

Pipeline reports, conversion funnel reports, monthly performance summaries, Zoho Analytics dashboard updates. Delivered to your inbox.

📨

Marketing automation

Zoho Campaigns drip sequences, list segmentation, A/B test setup, deliverability monitoring, signup form maintenance.

🎯

Pipeline operations

Stage-progression monitoring, follow-up reminders, deal hygiene, quote-to-invoice handoffs, win/loss reporting.

⚙️

Workflow maintenance

Zoho Flow / Deluge automation health, error monitoring, integration drift fixes, custom function updates as your processes evolve.

📞

Strategy reviews

Quarterly (Scale tier) deep-dive on what's working, what's not, what to change next quarter. Recommendations + an updated roadmap.

3Tiers

Each tier is a fixed monthly retainer covering a defined scope of work. All tiers include 1 active Lucky Duck operator working in your Zoho One. The Zoho One license cost is separate — you provide an existing subscription, or we provision and bill the license cost through to you.

Pricing model — read this before comparing tiers

Tier monthly = base scope of work for one Zoho One operator at your business. Each additional Zoho One user (anyone on your team operating the system directly) is $100/month each — covers the Zoho One license cost AND the per-user configuration / workflow programming time. The tier you pick is about scope of monthly work + integrations + strategic engagement, not about how many users you bring.

5MOaaS vs other engagement options

These are not mutually exclusive. Common pattern: start with a Zoho Setup engagement to get the foundation right, then convert to MOaaS for ongoing operations. Or layer DuckBot/Cloud on top of MOaaS later when you want AI capability.

6How it works

  1. Discovery conversation (~30 min, free)We talk about your business, current Zoho state, what's working / not working, and which tier fits. We confirm fit.
  2. Initial assessment (~1 week)We do a quick read of your current Zoho One configuration: what's set up, what's broken, what's missing. Sometimes this surfaces a need for a one-time Zoho Setup engagement first; sometimes the existing setup is good enough that MOaaS can start immediately.
  3. Engagement agreementMonthly retainer terms documented. Tier locked. Net 30 from invoice date. 30-day notice for tier changes or cancellation.
  4. Onboarding handoffYou introduce Lucky Duck to your team. We set up shared communication channels (email + Slack if applicable). We agree on what gets reported when.
  5. Month 1 executionTier scope of work begins. End-of-month report delivered. We talk about what we found, what we did, and what's next.
  6. Ongoing rhythmMonthly cadence settles in. Strategy review at tier-defined cadence (annual / semi-annual / quarterly). Tier can be adjusted with 30 days notice as your needs evolve.

7FAQ

I have a team of 8. What does my actual monthly bill look like?

Tier monthly = base price for one Zoho One operator. Each additional team member who needs to operate Zoho directly is $100/month each. Worked example: 8-person team on MOaaS Growth = $1,500 (base, 1 user) + $700 (7 additional × $100) = $2,200/month. The $100/user covers Zoho One license cost AND per-user configuration time — additional users aren't free even if they bring their own Zoho subscription.

Caveat: many MOaaS clients have 1-2 active Zoho operators, while the rest of the team consumes outputs (reports, alerts, follow-ups) without needing direct Zoho access. We help you figure out who actually needs a license vs who can be a downstream recipient — typical right-sizing saves several hundred dollars/month.

Do I need to do a Zoho Setup engagement first?

Sometimes yes, sometimes no. If your Zoho One is brand-new or badly configured, a one-time Zoho Setup engagement ($2,500-$10,000) gets the foundation right, then MOaaS picks up from there. If your existing Zoho setup is reasonably clean, MOaaS can start immediately. The discovery conversation surfaces which path fits.

Can I switch tiers up or down?

Yes — 30 days written notice for any tier change. We can also pause a MOaaS engagement (e.g., during a slow season) with the same 30-day notice. Just let us know what's changing.

What if my needs grow beyond the Scale tier?

That's the MOaaS Custom Engagement category — quoted based on your specific scope. Common Custom-tier scenarios: multi-brand operations, multi-entity Zoho setup, dedicated fractional operations manager, or specialty work outside the standard MOaaS scope. We've structured Custom engagements for everything from $4,000/mo up to $10,000+/mo depending on the actual work involved.

What's the difference between MOaaS and just hiring an in-house ops person?

An in-house Zoho admin in Klamath Falls runs $50,000-$80,000/year fully loaded. MOaaS Growth at $1,500/mo = $18,000/year — gets you 10-12 hours/month of skilled, Zoho-experienced execution without the overhead of recruiting, training, employment taxes, benefits, or downside risk if the role doesn't work out. The tradeoff: in-house gets you 160 hrs/mo of dedicated time; MOaaS gets you skilled time you actually need. Most small businesses don't need 160 hrs/mo of Zoho admin work — they need skilled hours when something needs doing.

What if I want AI assistance on top of MOaaS?

That's where DuckBot or Clawdio-Pro on the Cloud come in. You can layer them on top of an existing MOaaS engagement — Lucky Duck operators handle the human-judgment ops work, Clawdio-Pro handles the AI-assisted automation. Some MOaaS Scale clients eventually move toward this hybrid model as their operations mature.

Need a one-time Zoho setup before starting MOaaS? See Zoho Setup & Management — we configure your Zoho One then hand it back, with optional MOaaS pickup afterward.

Want AI assistance integrated into your ops? See DuckBot Appliances or Clawdio-Pro on the Cloud — these bundle our AI runtime layer with managed Zoho ops in one product.
